After-hours call answering for service businesses

Most small service businesses close the office at five and let calls roll to voicemail. After-hours call answering means a customer who rings at 9 p.m. still gets a useful conversation, and you start the next morning with a clear list instead of a pile of voicemails.

What happens when someone calls after hours

  1. Your phone forwards to the number we set up for the receptionist, either after a set time or when you are busy.
  2. The receptionist answers in your company name and finds out what the caller needs.
  3. It follows your rules: is this an emergency, a routine booking, a quote request or something else?
  4. Emergencies are escalated to your on-call person using the sequence you choose (dispatch logic is part of the Professional plan). Routine requests are booked into your calendar, or the details are captured for follow-up.
  5. The caller gets an email confirmation where booking applies, and you get an email with the summary, the transcript and the call audio.

What you get the next morning

  • Every call listed with the caller’s details and what they wanted.
  • Urgent items marked so you can call them first.
  • Booked appointments already in your calendar.
  • On Professional, new leads and jobs synced to your CRM and reminders sent to reduce no-shows.

What we need from you to set it up

  • Your opening hours and when calls should forward to the receptionist.
  • The services you offer and the area you cover, plus anything you do not do.
  • Your definition of an emergency, and who to call, in what order.
  • Your calendar (Google or Outlook) and, if you want CRM sync, your CRM.
  • The wording and tone you want callers to hear, and what may and may not be said about pricing.

We build and calibrate the receptionist around those answers and test calls with you before it takes real ones.

Who it suits

Trades such as HVAC and plumbing, and also clinics and other appointment-based businesses that lose enquiries when the office is closed. If your calls are mostly sensitive conversations that need a human voice, read the comparison with human answering services first.

Common questions

Do I need a new phone number?

No. You keep your number and forward calls to the number we set up for the receptionist. The exact options depend on your phone provider.

Can it run only outside office hours?

Yes. Many businesses forward calls only after hours or when the line is busy, and keep answering in person the rest of the time.

What if the caller wants to talk to a person?

The receptionist hands off when the situation calls for it, following the escalation rules we agree with you. Otherwise it takes the details and your team follows up.
